4. Deposit & Payment

4.1 Deposit requirement

Work does not commence until a deposit is received and confirmed. Deposit amounts are:

  • Starter and Growth plans: 30% of the agreed build fee
  • Pro plan: 50% of the agreed build fee

Add-on fees are payable in full before add-on work begins, unless otherwise agreed in writing.

4.2 Non-refundable deposit

The deposit is strictly non-refundable once work has commenced, unless QuickAIWebsite fails to meet the terms set out in the Refunds and Cancellation section of these Terms. Work is considered to have commenced upon the first business morning following deposit confirmation and receipt of all required client assets. By paying your deposit, you acknowledge and accept this condition. See Section 9 for the limited refund circumstances that may apply.

4.3 Final payment

The remaining balance is due in full prior to your site going live. QuickAIWebsite reserves the right to withhold publication of the completed website until full payment is received. Overdue balances may incur a late payment charge of £25 per 7-day period after the agreed due date.

4.4 Payment method

All payments are processed securely via Stripe. We do not store card details. Invoices are issued by email. Payment is due within 48 hours of invoice unless otherwise agreed in writing.

4.5 Consumer cooling-off waiver

Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, you have a 14-day cooling-off period for distance purchases. However, by paying your deposit and requesting that work begins immediately, you expressly consent to work starting within the cooling-off period and acknowledge that you will lose your right to cancel once work has commenced. This does not affect any refund rights set out in Section 9.

Note on intake form submissions: Submitting an intake form does not constitute a binding order or guarantee availability. A project is only confirmed when QuickAIWebsite sends a written order confirmation and a deposit invoice is issued.

5. Delivery & Timeline

5.1 Estimated delivery timelines

The following are estimated delivery timelines for each plan. These are targets that QuickAIWebsite will use reasonable commercial efforts to meet. They are not guaranteed delivery dates and do not form part of the contractual obligations under this Agreement.

  • Starter: 3–5 business days from the delivery clock start
  • Growth: 7–10 business days from the delivery clock start
  • Pro: 15–20 business days from the delivery clock start

Technology projects are inherently complex. Unforeseen technical challenges, integration issues, third-party platform behaviour, and other factors outside our reasonable control may extend delivery beyond the estimated timeline. QuickAIWebsite will notify the Client promptly if a project is expected to exceed its estimated timeline and will agree a revised timeline in writing.

Estimated Timelines are provided in good faith based on our experience with similar projects. They are not a promise, warranty, or guarantee of delivery by a specific date. The Client acknowledges that delivery may take longer than the estimated timeline and agrees that exceeding the estimated timeline does not, in itself, constitute a breach of this Agreement, entitle the Client to a refund, or create any liability for QuickAIWebsite.

5.2 When the delivery clock starts

The delivery clock starts at the beginning of the next business morning (6am GMT) after both of the following conditions are met:

  • • Your deposit payment has been confirmed by Stripe; and
  • • All required client assets have been received in full (see Section 10)

The clock does not start from the time of form submission, enquiry, or verbal agreement. Partial asset submission does not start the clock. If assets are received after the deposit, the clock starts the next business morning after the assets arrive, not the deposit date.

5.3 Definition of a business day

A business day is Monday to Friday, 6am–10pm GMT, excluding UK public holidays. Time outside these hours does not count towards the delivery window.

5.4 Client review period

Upon completion, you will receive a preview link to review your website. You have 2 business days from the time the preview link is sent to submit your first round of revision feedback. Failure to respond within this window will be treated as approval of the preview, and the site will proceed to launch. Additional review delays caused by the Client do not extend the delivery clock or create liability for QuickAIWebsite.

5.5 Force majeure and unforeseen delays

QuickAIWebsite will make every reasonable effort to meet agreed timelines. However, we accept no liability for delays caused by:

  • Late, incomplete, or unclear asset submission by the Client
  • Client unavailability during the review period
  • Third-party platform outages (hosting, Stripe, analytics tools)
  • Circumstances outside our reasonable control (illness, technical failure, natural events)

In such cases, we will notify you as soon as reasonably practicable and agree a revised timeline. Minor variations to delivery timelines (up to 2 business days) do not constitute a breach of these terms.

For the avoidance of doubt, delivery timelines displayed on our website, in proposals, in emails, or in any marketing materials are always Estimated Timelines as defined in Section 1. No statement of delivery time — whether verbal, written, or published — creates a binding deadline unless explicitly agreed in a separate written addendum signed by both parties that expressly overrides this section.

What constitutes a missed deadline for refund purposes: A delivery deadline is considered missed only when QuickAIWebsite fails to deliver a preview link within the agreed timeline, and that failure is solely due to our own actions or inactions — not client delays, asset issues, or force majeure events. See Section 9.

5.6 AI integration project delivery

AI Integration projects (Starter AI, Growth AI, Custom Automation) are delivered within the following indicative timelines from receipt of all required setup information and payment:

  • Starter AI chatbot: Typically 5 business days
  • Growth AI chatbot: Typically 5–7 business days
  • Premium AI chatbot: Typically 7–10 business days
  • Workflow Automation Essentials: Typically 5 business days
  • Workflow Automation Growth: Typically 7–12 business days
  • Workflow Automation Custom: Timeline agreed in writing as part of the project proposal

All AI integration and automation delivery timelines are Estimated Timelines as defined in Section 1 and Section 5.1. The same provisions regarding non-guarantee of delivery dates apply. Third-party platform access must be granted by the Client before the clock can start.

5.7 AI chat assistant setup delivery

AI Chat Assistant setup is delivered within the following indicative timelines from receipt of setup fee, chatbot training content, and any website integration access:

  • Starter: Typically 5 business days
  • Growth: Typically 5–7 business days
  • Premium: Typically 7–10 business days

All AI Chat Assistant delivery timelines are Estimated Timelines as defined in Section 1 and Section 5.1. The same provisions regarding non-guarantee of delivery dates apply.

The chatbot is delivered via a staging embed link for Client review before going live on the Client\'s website. The Client has 2 business days to review and approve or provide a single round of feedback.

6. Revisions

6.1 Included revision rounds

  • Starter: 1 revision round
  • Growth: 2 revision rounds
  • Pro: 3 revision rounds

6.2 What constitutes a revision

A revision round is a single consolidated list of feedback submitted in one communication. QuickAIWebsite will action feedback received within the same round in a single pass. Feedback must be specific and relate to the agreed scope of the project. Each revision round includes:

  • Text corrections and copy changes
  • Layout or colour adjustments within the existing design
  • Adding or removing content blocks within the agreed page count
  • Minor structural changes

6.3 What is not included in a revision

  • A complete redesign or change of visual direction
  • Adding new pages beyond the agreed page count
  • New features or functionality not in the original scope
  • Requests that contradict previously approved directions

Any such requests will be quoted separately and require an additional payment before work begins.

6.4 Revision turnaround

QuickAIWebsite will action revision feedback on the same business day it is received, provided it is received before 2pm GMT. Feedback received after 2pm GMT will be actioned the following business day. This turnaround applies to standard feedback of reasonable scope; large or complex revision requests may require additional time, which we will communicate promptly.

6.5 Additional revisions

Additional revision rounds beyond those included in your plan are available upon request and will be quoted at our then-current rate. Additional revisions require prepayment before work begins.

Approval and sign-off: Once all included revision rounds have been completed, or the Client approves the site in writing (including by email), the project is considered complete. No further changes are included at no cost after this point. Requests made after sign-off will be treated as new work and quoted accordingly.

6.6 AI Integration revisions

AI Integration projects include one round of testing and revisions during the staging phase before go-live. Revisions after go-live are covered by the monthly maintenance fee for minor adjustments (up to 30 minutes per month). Major changes to automation scope, new integrations, or chatbot retraining beyond the maintenance allowance are quoted separately.

7. Managed Service

This section is critical. Please read it in full before placing an order.

A monthly managed service subscription is mandatory for all clients. Your website cannot remain live without an active subscription. This requirement is made clear at intake, on our pricing page, and must be acknowledged before your deposit is accepted.

7.1 Managed service tiers

Essential

£29/month

SSL certificate, Cloudflare hosting uptime management, technical support, site performance monitoring

Standard

£49/month

Everything in Essential, plus up to 30 minutes of content edits per month carried out by our experienced software developers

Premium

£89/month

Everything in Standard, plus priority support and a monthly SEO performance report

AI Integration Monitoring

From £49/month

AI chatbot monitoring & retraining (up to 30 min/month), automation error monitoring, monthly performance report, priority support for integration issues. Starter AI: £49/mo, Growth AI: £89/mo, Custom: quoted.

Managed service tiers are not locked to build plans. Any client may choose any tier at any time, subject to availability.

7.2 Billing

Managed service is billed monthly via Stripe, commencing on or around your site launch date. Payment is automatic. It is the Client's responsibility to ensure a valid payment method is maintained in Stripe at all times.

7.3 Non-payment and suspension

If a managed service payment fails, QuickAIWebsite will notify the Client by email. If payment is not received or a valid payment method is not updated within 7 days of the failed charge, the Client's website will be suspended (taken offline) without further notice. QuickAIWebsite accepts no liability for any loss of business, revenue, or reputation resulting from suspension due to non-payment.

7.4 Cancellation of managed service

30 days' written notice is required to cancel the managed service, sent to hello@quickaiwebsite.com. Notice must be given by email. Upon expiry of the notice period, the Client's website will be permanently taken offline. QuickAIWebsite is not required to provide any refund for the notice period.

7.5 Domain ownership and handback

On cancellation, QuickAIWebsite will provide the Client with their domain's DNS records and configuration details on written request to hello@quickaiwebsite.com, allowing the Client to point their domain to any new host. The Client's domain name remains the Client's property at all times. QuickAIWebsite makes no claim over any domain registered by or on behalf of the Client.

7.6 Hosting and platform exclusivity

All websites built by QuickAIWebsite are hosted on Cloudflare Pages via QuickAIWebsite's account. The managed service fee covers hosting, maintenance, and technical support. The Client may request a full code export at any time post-launch for a one-time Export Fee of £149 (see Section 3: Add-ons & Extras). Cancellation of the managed service without purchasing the code export results in permanent removal of the website.

About hosting: Sites are hosted on Cloudflare Pages, one of the world's fastest global CDN networks. Your code is always exportable via the Export Fee option. By agreeing to these terms, the Client confirms they understand the hosting arrangement.

7.7 Website Managed Service vs AI Chat Assistant

The Website Managed Service (Essential, Standard, Premium) and the AI Chat Assistant service are separate subscriptions. Cancelling one does not affect the other. Website Managed Service is required to keep your website live. AI Chat Assistant is required to keep your chatbot live. Each is billed independently via Stripe.

8. Cancellation by Either Party

8.1 Cancellation by the Client

The Client may cancel their project at any time by notifying QuickAIWebsite in writing. However:

  • • If cancellation occurs before work has commenced: the deposit is forfeited but no further amount is owed.
  • • If cancellation occurs after work has commenced: the deposit is forfeited and any additional work completed beyond the deposit value may be invoiced at a fair hourly rate, to be agreed in writing. QuickAIWebsite will provide a written breakdown of work completed.
  • • If cancellation occurs after the site is live: the full build fee is non-refundable. Managed service may be cancelled with 30 days' notice per Section 7.4.

Under the Consumer Contracts Regulations 2013, consumers may have a 14-day cooling-off right. However, by explicitly requesting that work begin before this period expires (as acknowledged in the intake form), the Client waives this right in respect of services already performed. If you are unsure, do not submit your deposit until you are ready to proceed.

8.2 Cancellation by QuickAIWebsite

QuickAIWebsite reserves the right to cancel any project at any time. If we cancel before work has commenced, a full deposit refund will be issued. If we cancel after work has commenced, we will refund the deposit and any balance paid, less a fair charge for work completed to that point.

8.3 AI Chat Assistant cancellation

The Client may cancel their AI Chat Assistant subscription with 30 days' written notice sent to hello@quickaiwebsite.com. Upon cancellation, the chatbot will be deactivated at the end of the notice period. No refunds are given for partial months. The setup fee is non-refundable. Conversation data and analytics will be provided to the Client upon request before deactivation.

9. Refund Policy

Our refund policy is intentionally narrow. We invest significant time, AI resource, and developer effort in every project. Refunds are available only in the specific circumstances listed below.

9.1 When a refund may be issued

A full or partial refund will be considered only in the following two circumstances:

Circumstance 1 — Delivery significantly beyond estimated timeline

QuickAIWebsite fails to deliver a working preview link within a reasonable period beyond the Estimated Timeline for the Client's plan, and that failure is solely due to QuickAIWebsite's own inaction — not client delays, incomplete assets, client unavailability, or force majeure events as defined in Section 5.5. Exceeding the Estimated Timeline alone does not entitle the Client to a refund; refund eligibility arises only from a sustained failure to deliver that is attributable to QuickAIWebsite.

Circumstance 2 — Fundamental failure of scope

The delivered website fundamentally fails to meet the scope agreed in the intake form and written order confirmation, and this failure persists after all included revision rounds have been fully utilised without resolution.

9.2 How to make a refund request

  • • Requests must be made in writing to hello@quickaiwebsite.com
  • • Requests must be made within 7 days of the agreed delivery date or the date of the final revision delivery
  • • The Client must describe the specific failure clearly and in writing
  • • QuickAIWebsite will respond within 5 business days of receiving a valid request

9.3 Refunds are not available in the following circumstances

  • Change of mind after work has commenced
  • Dissatisfaction with AI-generated content that has been reviewed, revised, and signed off
  • Delays caused by the Client (late assets, unavailability, slow feedback)
  • Failure to provide complete or accurate assets
  • Requesting features not included in the original agreed scope
  • Business circumstances changing after the order is placed
  • Cancellation of managed service after the site has launched

9.4 Refund amount

Where a refund is approved, the amount will reflect the work completed to that point. A full refund is not automatically granted; QuickAIWebsite will provide a written breakdown. Refunds are processed via Stripe within 10 working days of approval.

Managed service fees are non-refundable. Monthly managed service fees already paid cannot be refunded, as these cover costs already incurred by QuickAIWebsite during that billing period.

9.5 AI chat assistant refund policy

The following applies to all AI Chat Assistant subscriptions (Starter, Growth, Premium):

  • • The one-off setup fee is strictly non-refundable once setup work has begun.
  • • Monthly subscription fees cover the period paid and are non-refundable. No partial-month refunds are issued.
  • • A refund of the setup fee may be considered only if QuickAIWebsite fails to deliver a working chatbot within the agreed timeline (Section 5.7) and that failure is solely due to our actions.
  • • Cancellation mid-month does not entitle the Client to a refund of that month's fee.

9.6 AI integration and workflow automation project refunds

The following applies to Starter AI, Growth AI, Custom Automation, and standalone Workflow Automation projects:

  • • The deposit or full payment is non-refundable once work has commenced (equivalent to Circumstance 1 / 2 logic in Section 9.1).
  • • A full or partial refund may be considered if QuickAIWebsite fails to deliver the agreed project scope within the agreed timeline (Section 5.6) and the failure is solely due to our actions.
  • • Monthly maintenance fees already paid are non-refundable.
  • • Refund requests must be made within 7 days of the agreed project delivery date and follow the process in Section 9.2.

10. Client Obligations

The Client is responsible for the following. Failure to fulfil these obligations may delay delivery, affect quality, and in certain cases, forfeit refund rights.

10.1 Asset submission

The Client must provide all required assets before the delivery clock can start. Required assets typically include:

  • Logo file (high resolution, ideally SVG or PNG with transparent background)
  • Brand colours (hex codes or existing brand guide)
  • Business description, services list, and key selling points
  • Contact details (address, phone, email)
  • Any photography or images to be used on the site
  • Any specific content or copy you want included

If professional photography or branded images are not provided, QuickAIWebsite will use stock imagery selected at our discretion. This is considered acceptable completion of the build.

10.2 Accuracy of information

The Client is solely responsible for the accuracy, legality, and completeness of all content provided and published on their website. QuickAIWebsite accepts no liability for errors, omissions, or misleading content originating from information provided by the Client.

10.3 Legal compliance

The Client is responsible for ensuring that their website complies with all applicable laws and regulations, including but not limited to consumer protection law, trading standards, data protection (UK GDPR), and any industry-specific regulations. QuickAIWebsite is not a legal adviser and does not warrant that any website built for the Client will be legally compliant for the Client's specific trading activities.

10.4 Availability for review

The Client must be reasonably available during the review period to provide feedback. Extended unavailability may delay the project and does not extend the delivery clock or create liability for QuickAIWebsite.

10.5 AI Integration client obligations

For AI Integration Services, the Client is additionally responsible for:

  • Providing accurate business information for chatbot training
  • Ensuring all content provided for automation workflows is legally compliant
  • Maintaining active accounts on any third-party platforms being integrated (CRM, booking system, etc.)
  • Notifying QuickAIWebsite of significant changes to business processes that may affect automation accuracy

QuickAIWebsite is not liable for automation errors arising from inaccurate information provided by the Client.

11. Intellectual Property

11.1 Client content

The Client retains all intellectual property rights in content, images, logos, and materials they provide to QuickAIWebsite. The Client warrants that they have the right to use all such materials and that use of them will not infringe any third-party intellectual property rights. The Client indemnifies QuickAIWebsite against any claims arising from the use of Client-supplied content.

11.2 Ownership of completed website

Upon receipt of final payment in full, the Client is granted a licence to use the website as a live, hosted site on our platform. The Client owns the textual content and images displayed on their website. QuickAIWebsite retains ownership of the underlying code, templates, and platform infrastructure.

11.3 No file transfer

As stated in Section 7.5, no website files, source code, or exports will be provided. The licence granted in 11.2 is for use of the website on our platform only and terminates upon cancellation of the managed service.

11.4 Portfolio rights

QuickAIWebsite reserves the right to display completed websites in our portfolio and marketing materials. If the Client wishes to opt out of portfolio display, they must notify us in writing at the time of order. Opting out does not affect any other terms of this Agreement.

11.5 AI Chat Assistant content

The Client retains ownership of all business content, FAQs, and documents provided for chatbot training. QuickAIWebsite retains ownership of the chatbot configuration, prompt engineering, and platform infrastructure. Upon cancellation, the chatbot configuration is not transferable.

12. Limitation of Liability

12.1 Cap on liability

QuickAIWebsite's total liability to the Client under or in connection with this Agreement, whether in contract, tort (including negligence), or otherwise, shall not exceed the total build fee paid by the Client for the specific project giving rise to the claim.

12.2 Excluded losses

QuickAIWebsite shall not be liable for any of the following, whether or not such losses were foreseeable:

  • Loss of revenue, profits, or business
  • Loss of customers or contracts
  • Loss of anticipated savings
  • Loss of data or corruption of data
  • Damage to reputation or goodwill
  • Indirect or consequential loss of any kind

12.3 Third-party services

QuickAIWebsite is not liable for the performance, availability, or security of any third-party services including Stripe, Google Analytics, the hosting platform, or any AI content generation tools. Outages, failures, or changes to third-party services do not constitute a breach of these terms.

12.4 Consumer rights

Nothing in these terms limits or excludes our liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation, or any other liability that cannot be excluded or limited by law. If you are a consumer, your statutory rights under UK law are not affected.

12.5 No liability for estimated timelines

QuickAIWebsite shall not be liable for any loss, damage, or expense arising from delivery taking longer than the Estimated Timeline provided. This includes but is not limited to: lost revenue from delayed launch, missed marketing deadlines, costs incurred in connection with planned launch events, or any consequential losses arising from late delivery.

13. Disputes

13.1 Informal resolution
